Q: Why is QViS different from any other graphical mapping system?
A: It is simple to use and is designed in collaboration with its customer base to conform to real life needs and applications.

Q: I have heard of IDEF and 'Swim Lane' presentation. Isn't this the vogue and why doesn't QViS use this approach?
A: These technologies and presentation formats tend to confuse the users of the processes, and thus these systems become the property of the process 'technicians'. QViS is designed to be simple to use and its format simple to understand.

Q: My users and I do not want yet another computer technology to deal with. Is it complicated or difficult to use?
A: No. With one day of basic training users can be very capable of creating process maps with QViS. Once trained, the user's learning curve is short by comparison with other products, and knowledge retention is generally good.

Q: I am used to flow charts that use diamond decision boxes - diamonds - to guide me through the flow. How does QViS deal with this?
A: Diamond decision boxes only allow Y/N type outputs. QViS allows multiple outputs by encouraging the user to create simple text or graphic statements that inform the process viewer about what is happening or about to happen. This in turn creates visual simplicity.

Q: I want to use visual statements wherever possible instead of large amounts of text. Will QViS provide this capability?
A: Yes. QViS was designed from the start to create a simple yet powerful visual environment. QViS provides the ability to use different styles and formats for the activity boxes. In addition graphic images and multimedia can be incorporated in the process activities to further enhance the viewer's comprehension of the process.

Q: I have many procedures and standards documents in electronic format that is essential to my processes. Can QViS integrate these?
A: Yes. QViS can provide direct active links to any electronically stored document, or the application itself. This can be done by linking to an individual activity or the whole process. In addition QViS has its own word processor and graphics manager so that text and graphics can be embedded in to each activity.

Q: My organization is geographically dispersed and communication is vital. Does QViS provide the means to communicate with its system users?
A: QViS has an internal memo system whereby QViS users wherever located can communicate with each other about QViS diagrams; for example, like an Internet user group. QViS users can also communicate with each other using QViS's own e-mail system, send simple text or automatically attach memos and diagrams. QViS can also provide the ability to communicate through other e-mail services used by your organization.

Q: I am concerned about security. Does QViS provide appropriate levels of security?
A: Yes. Using the QViS administration facilities users can be given appropriate privileges for their job function; this includes creation/edit/view, and printing rights. Each user is provided with a users name and password to control access. User groups can also be set up in a similar manner. If documents or applications are attached, their access can be controlled by using the usual document, application, or network access permissions.

QViS Implementation

Q: Is QViS difficult to implement?
A: This will obviously depend on the nature of the organization and the level of enthusiasm for introducing a QMS or business process reengineering. In general experience shows that it is no more difficult than any comparative type of implementation and quite often it is much easier.

Q: Do all the users have to understand process engineering to be able to use QViS?
A: No. The majority will only have to learn how to use the application. However, it is expected that some staff in the organization will have expertise in Quality and/or process engineering systems.

Change and Configuration Management

Q: My organization will undergo changes during and after the implementation. Does QViS provide me with the appropriate change management?
A: Yes. The application provides change and configuration management facilities that are ISO conformant. The application provides powerful reporting tools for change management and auditing purposes.

Q: Once I have my processes mapped out I want to reengineer them to improve efficiency and/or performance. Does QViS have the appropriate tools?
A: QViS has powerful statistical analysis tools to aid the reengineering process. It also has the ability to create, insert, and test process variation through its scenario analysis facilities.

Q: Is the use of QViS confined to Quality Management Systems?
A: No. QViS is used by customers for many purposes. For example, it is used for project set-up and management, it is a very effective and powerful training tool, and it is used for organization structuring.

Services and Support

Q: What services are provided to support the implementation of QViS?
A: We have a very experienced team of Consultants and Trainers who are able to get you started and keep you going.

Q: What Consultancy services are available?
A: We provide expert services for QMS, BPR, Project Management, Facilitation and Business Management. We are able to provide services based on your own specific requirements.

Q: What training do you offer?
A: To be effective, all QViS users who will create or edit the process maps should undertake the one-day basic practitioner's course. This, as with all the training, can be tailored to your specific needs. Further specialist training is offered for system administration, planning and costing, implementation, and specific QMS requirements.

Q: Is after sales support available?
A: Providing you take the option for annual support when you purchase your license, you will have access to our very effective Help Desk. Telephone support is provided free five days a week. On site technical support can be arranged and will attract an additional consultancy fee. Any application upgrades will be issued free for the system version you have purchased.
